For any business that cannot always get to the phone

An AI Receptionist for Your Phone

An AI receptionist is a person-like voice called Sarah who answers your business phone when you cannot. She picks up straight away, any time of day or night, tells the caller who she is, finds out what they need, takes their name and number, and writes the whole call down for you. We set her up for you, we give her a UK phone number, and it costs £40 a month.

  • £40a month, plus VAT
  • £0to pay up front
  • 5 hrsof calls a month
  • 12month minimum contract

Below you can hear what a caller gets, see what you get after every call, and what it costs.

Here is what a caller hears

This is Sarah answering a plumber's phone, exactly as she would answer yours. A customer rings at ten past six with a leak under the sink. Sarah answers, finds out what the problem is, takes the caller's name and number, and books a call back for the next morning. The whole call takes just over a minute, which is how long the average call to Sarah lasts.

Sarah

Hello, you're through to Westbury Plumbing. This is Sarah, Mark's personal assistant. This call is transcribed so we can help you. How can I help today?

Jo

Hi, I've got water coming out from under the kitchen sink. It's not pouring but it's not stopping either.

Sarah

I'm sorry to hear that. Let me take some details so Mark can get back to you. Can I take your name?

Jo

It's Jo Patel.

Sarah

Thanks Jo. And the best number to call you back on?

Jo

07700 900123.

Sarah

That's 07700 900123. Is the water near anything electrical, or is it just under the cupboard?

Jo

Just the cupboard, I've put a bucket under it.

Sarah

Good. Mark can ring you first thing tomorrow, would eight o'clock suit?

Jo

Eight is fine.

Sarah

Eight o'clock tomorrow, I've put that in his diary. Is there anything else I can help with?

Jo

No, that's it, thanks.

Sarah

Thanks Jo, Mark will ring you at eight. Goodbye.

1 What Mark gets, the moment the call ends

As soon as Jo hangs up, Mark gets an email. Jo's name and number are at the top, so he can ring her back. What she rang about is under that in a sentence, and the whole call is underneath, word for word. The eight o'clock call back is already in his diary.

Jo has water coming from under the kitchen sink. It is a steady leak, not near anything electrical, and there is a bucket under it. You are ringing Jo back at 8:00 tomorrow, which is in your diary.

2 Every call is kept, so you can read them all

Not every caller is a customer. Some are suppliers, some are people selling things, and some ring at midnight. Sarah comes with her own login, and every call she has ever taken is listed there: who rang, what they wanted, when, and what she did about it. You can read the ones you missed, find the ones that matter, and ring back the ones who left a number.

How many calls is 5 hours?

5 hours sounds like a lot or a little depending on how long your calls are. Most calls to Sarah are short, because she gets to the point: the average across every real call she has taken is just over a minute.

Drag the slider to the length of a typical call to your business and see how many calls a month each package covers.

Light, 5 hours a month£40 a month
300 calls
Pro, 8 hours a month£65 a month
480 calls

That is about 10 calls a day on Light and 16 a day on Pro, every day of the month.

We counted the average from every real call Sarah has answered on our own line since September.

When the hours run out

When a month's hours are used up, Sarah stops answering, so you are never charged for a minute you did not agree to. You get an email when you are close, and you can add more hours whenever you like. Hours you add are there until you have used them.

What is in every package

Every one of these is included in both Light and Pro. This is the telephone dashboard you get, screen by screen.

  • Every call written down

The caller's name, their number, the time they rang, what they wanted, and the whole conversation word for word.

  • Filter by type of call

Enquiries, calls from existing customers, and sales calls that were turned away, each with a count, so you see the ones that matter first.

  • Practice calls

Press Start a call, pretend to be a customer, and see exactly what Sarah would say and what she would write down, before a real customer ever rings.

  • Her name

Call her Sarah, or anything you like.

  • Her voice

Four British voices to pick from: Amy, Emma, Brian and Arthur.

  • Her manner

Professional, polished and courteous. Friendly, warm and everyday. Or casual, relaxed and chatty.

  • Your own greeting

Write the first thing callers hear, or leave it and she introduces herself as your assistant.

  • The facts she knows about your business

Your services, your prices, how you work. Press Write it from my website and she reads your website and writes the list for you; you check it and save it. Anything that is not on the list, she takes details and says someone will call back, so she never makes something up.

  • Fast replies, on or off

On, she starts answering as soon as the caller stops talking, and callers can talk over her. Off, there is a pause of a few seconds before each reply.

  • Pop-ups on your phone for urgent calls

A card on your phone or computer the moment an urgent call comes in.

  • An email about every genuine call

Sent to whichever address you choose. Sales calls never email you.

  • Sales calls turned away

People selling you marketing, energy, card machines or leads are politely turned away and logged, and they never ring your phone.

What Pro adds, and what it lets you do

Pro is the same Sarah with more hours and four things switched on. Each one is about what happens after the call.

1

Call backs go into your calendar

When Sarah agrees a time with a caller, as she did with Jo, that call back is booked into the calendar in your login. You open your diary in the morning and the day's calls are already there, with the number to ring and what each one is about.

2

Your callers become your contacts

Every caller is kept as a contact, and every new enquiry becomes a lead, in the same login. When someone rings a second time Sarah knows they have rung before, and you can see the whole history of every caller in one place, which is the start of a customer list you did not have to type in.

3

Urgent calls come through to you live

You tell Sarah what counts as urgent. When one comes in she says she is putting the caller through and rings your mobile. If you answer, you are talking to the customer. If you cannot, she carries on, takes the details, and marks it urgent so it is at the top of your list.

4

Every call is tagged

New customer, existing customer, complaint, urgent, or someone selling to you. The tags are on the list and in the filters, so on a busy day you can go straight to the calls that make you money.

Buy Pro, £65 a month

How it works, from the day you order

Four steps, and you only have to do two of them. Click each step to see what happens.

You give us your business name and your website address, and the number you want urgent calls put through to.

  • The facts she tells callers, written from your website
  • Her name, her voice and her greeting
  • Her own UK phone number
  • Your login, ready to read the calls

We read your website and write the list of facts she will tell callers, we set her name, voice and greeting, and we buy her a UK phone number of her own. That number is included in the price.

You set your existing business number to forward to Sarah's number, which takes a minute with whoever provides your phone line. Or, if you would rather, make Sarah's number your business number and put it on your website and your van.

From then on, every call you cannot take is answered, written down, emailed to you and kept in your login.

  • 1 min 6 sthe average call

from hello to goodbye, because she gets to the point

  • 0calls missed

Try it now

Ring 0117 299 0348 and Sarah will answer. That is our real office number, and she answers it every day. Ask her what the receptionist costs, or what happens when you are on holiday, or tell her you have a leak and see what she does. The call is written down and emailed to us like any other, so you will be hearing exactly what your customers would hear.

Three things to ask her
"How much is the receptionist?""What happens when I'm on holiday?""I've got a leak under my sink."

Questions people ask us

Does she sound like a robot?

She is a natural British voice, and if a caller asks, she says she is an AI assistant. Callers are told at the start that the call is transcribed.

What if a caller asks something she does not know?

She only tells callers the facts on your list. For anything else she takes their details and says someone will call them back. She never guesses.

Do I need a new phone number?

No. You keep your number and forward it to Sarah's. If you would rather, Sarah's number can be your number.

What happens when the hours run out?

Sarah stops answering until the next month, or until you add hours. You get an email before that happens.

Can she answer only when I cannot?

Yes. Ring my phone first rings you for as many seconds as you choose, and Sarah answers only if you do not pick up. You can also limit that to your opening hours.

What happens to sales calls?

She turns them away politely, writes them down so you can see who rang, and never emails you or rings your phone about them.

Can I change what she says?

Yes, in your login: her name, her voice, her manner, her greeting and the list of facts, whenever you like.

Is there a contract?

12 months, then month to month. Nothing to pay up front.
